Privacy policy

This Privacy Policy explains circumstances in which we collect information from you and how we use that information. The policy applies to the Society for Iberian Global Art (“we” or “SIGA”) website (the “Site”) available at https://siga.spainculture.us.

This Privacy Policy also applies to other activities and practices of SIGA, such as awards and conferences. For purposes of the European Union General Data Protection Regulation (GDPR), SIGA is the data controller.

When do we collect personally identifiable information?

We collect your personally identifiable information —which is information that directly identifies you such as your name, street address, telephone and facsimile numbers, email address, level of education, profession, and job title— only when you knowingly provide it to us. It may also include payment and contribution information as well as any other information that you choose to provide directly to us when using the Site or interacting with our services and products that are offered on our Site (the “Services”).

We may gather such information during the following interactions:

  • When you become a member of SIGA
  • When you renew your membership or rejoin SIGA
  • When you vote in a SIGA election, whether through the Site, in person, or offline
  • When you participate in a SIGA survey, whether on the Site, in person, or offline
  • When you register for a SIGA Triennial Conference
  • When you submit an article for consideration for the annual special issue of the Hispanic Research Journal (HRJ), which is co-edited by a member of SIGA’s board
  • When you submit a monograph, article, or exhibition catalogue for consideration for one of SIGA’s publication awards
  • When you submit session content or other information relating to your participation at the SIGA-sponsored session at the College Art Association’s (CAA) Annual Conference
  • When you submit an announcement for inclusion on the Site
  • When you provide information to listservs that we maintain
  • When you make a contribution to SIGA

How do we use personally identifiable information?

We collect and use personally identifiable information primarily to provide you with services and to enhance your experience at the Site and as a member of SIGA. We will include personally identifiable information of individuals attending the Triennial Conference and/or the SIGA-sponsored session at CAA’s Annual Conferences in the Directory of Attendees and/or on the Site unless they opt out during the registration process. Unless members opt out, SIGA otherwise uses such information in order to communicate with them.

In addition to internal uses by SIGA, third parties may be provided or collect personally identifiable information in the following circumstances:

  • When we employ outside contractors to provide SIGA Services, including credit-card processing; newsletter mailing; access to or mailing of publications (including the annual special issue of the HRJ); member database management; postal and electronic mail; hosting and maintaining announcements on the Site; and developing applications for the Site. We may need to provide these outside contractors with your personally identifiable information in connection with their providing such products or services to us. These contractors (which, under the GDPR, are data processors) are subject to our vendor approval process, and are obligated to protect the privacy of your personally identifiable information and to refrain from using or disclosing that information other than to provide us with such products or services.
  • We may share personally identifiable information with third parties for the purpose of their providing you with offers or information that may be of interest to you, or to facilitate such third parties providing you with benefits of SIGA membership. If required by applicable data protection laws to obtain your consent to use your information in this way, we will request such consent from you. You will be able to withdraw your consent at any time. For further information, please see below.
  • We also may disclose your personally identifiable information in special cases, when we have reason to believe that disclosing this information is necessary to identify, contact, or bring legal action against you or someone else who may be causing injury to or interference with (either intentionally or unintentionally) SIGA’s rights or property, other users of the Site, or anyone else that could be harmed by such activities. We also may disclose personally identifiable information when we believe in good faith that the law requires it.
  • If you voluntarily provide your personally identifiable information to listservs SIGA maintains, that information will be disclosed to anyone with access to said listserv.

We do not rent or sell personally identifiable information.

If you authorize us to share your personally identifiable information with third parties but you thereafter change your mind, or if you no longer want to receive communications from SIGA, you may indicate your preferences either (1) by sending an email to [email protected] or (2) by changing your communications options in your SIGA account. Your instructions to us will only impact subsequent sharing of personally identifiable information with third parties and any future communications from SIGA. If, however, we had previously shared your information with third parties, it is possible such information may continue to be used by them.

Even if you have chosen not to receive communications from SIGA or third parties, we reserve the right to contact you as necessary regarding your membership in SIGA, any request you have made for services from SIGA, changes to this Privacy Policy, and other matters.

What are our legal bases for using your personally identifiable information?

The legal bases for which we use your personally identifiable information are as follows:

  • To perform our obligations by contract with you (e.g. to provide you your requested Services, to comply with our privacy policy and any terms of use, and to comply with applicable law);
  • For our legitimate interests or the legitimate interests of others (e.g., to operate our Services, to defend our legal rights, to analyze use of and improve our Services);
  • Based upon your consent;
  • Otherwise in accordance with applicable laws and regulations.

How do we use cookies and non-personally identifiable information?

We may use “cookies,” which is a data file that is placed on your device, to collect non-personally identifiable information (including user IP addresses and domain names) and other anonymous statistical information when you visit the Site. We use this information for security and statistical purposes, including statistical analyses of member behavior and characteristics. We do not use cookies for behavioral advertising, and we do not share cookies with third parties.

You may set your browser to refuse all or some browser cookies or to alert you when websites set or access cookies. If you disable or refuse cookies, please note that some parts of this Site may become inaccessible or not function properly.

Is my information secure?

We use commercially reasonable security measures to protect your personally identifiable information, including physical security and restrictions on access. We use encryption technology to transmit personally identifiable information to our server. We secure the personally identifiable information you provide on servers located in controlled environments that adopt industry-standard security measures.

Please be aware that there is always some risk involved in transmitting information over the internet. Additionally, there also is some risk our security systems could be circumvented or breached. As a result, although we strive to protect your personally identifiable information, we cannot guarantee the security of any information you transmit to us, and your use of the Site is at your own risk.

Are there any restrictions regarding access to the site?

Access to the Site from countries or territories where such access is illegal is prohibited. You are solely responsible for complying with all local laws, rules, and regulations regarding online conduct and access to the Site.

Does this Privacy Policy apply to third-party websites?

This Privacy Policy does not apply to the collection and use of any information gathered by or through any third-party website, including any Site to which the Site links such as Square, which is used by SIGA for payment processing. We encourage you to review Square’s privacy policy to understand what policies apply to their own collection and use of information. We further encourage you to review the privacy policies and practices of any other third-party websites that you may access when visiting our Site, including Instagram and X (formerly Twitter).

How long will SIGA retain my personal data?

We retain your information for no longer than is necessary for the purposes for which it was collected. The length of time we retain your personal information is determined by operational and legal considerations. For example, we are legally required to retain some types of information to fulfil our statutory and regulatory obligations (e.g., for tax and/or accounting purposes).

Will my personally identifiable information be transferred to jurisdictions outside where I live?

Your information may be processed and stored in the United States or other jurisdictions around the world where our service providers are located. These jurisdictions may have different privacy laws than those where you live. By accessing the Site and using our Services, you acknowledge and agree that your information may be processed and stored outside of your country of residence. We will undertake necessary measures, as required by applicable law, to ensure that any transfers of your information between jurisdictions comply with applicable law. You may contact your local data protection authority if you have concerns about your data privacy rights under local law.

How can you access, update, correct, or delete personally identifiable information?

You can access, update, correct, delete, or restrict the way that we process or disclose certain of your personally identifiable information at any time by writing to SIGA at [email protected]. Based upon where you reside, you may have additional rights regarding your information, including the right to obtain a portable copy of the personally identifiable information that you have provided to us. We may request that you provide us with information to verify your identity before responding to your request.

Upon receipt of your request and verification of your identity, we will remove your personally identifiable information from our database; however, some residual information may remain on back-up media and records of deletions. We will respond to your request within the time frame required by applicable law. Please note, however, that certain information may be exempt from any such request, including instances in which we have legitimate interests in maintaining that information or are required to do so by law. We are unable to delete information from third-party databases. Please note that deletion or removal of your personally identifiable information from the Site may prevent us from connecting with you, for example, by corresponding via email.

Children

Our Site and our Services are intended for general audiences and are not directed at children under 13 years old (“Child” or “Children”). If we become aware that we have collected information about a Child without any required parental consent, we will promptly delete such information. Will SIGA change this Privacy Policy?

This Privacy Policy is effective as of 1 August 2024. SIGA reserves the right to change this Privacy Policy at any time by notifying users. We may notify you by posting a notice on the Site or by contacting you through email or other means. Your continued use of SIGA’s services following the posting of changes to this Privacy Policy means that you accept those changes.

What if you do not agree to the terms of this Privacy Policy?

As a member of SIGA, or by otherwise providing information to SIGA in connection with SIGA services, you agree to this Privacy Policy. If you do not agree to this Privacy Policy, please do not provide any personally identifiable information to SIGA.
